RT Tutoring, LLC, doing business as More Than A Teacher ("we," "us," or "our"), provides online and in-person tutoring services through www.dfwtestprep.com (the "Site"). This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using our Site or services, you agree to this policy.


01Information We Collect

We collect the following categories of information:

Information you give us directly. When you register for a class or practice test, or contact us, we collect information such as the parent or guardian's name, email address, and phone number, along with the student's name, grade or graduation year, and school. You may optionally provide a student email address. We also note how you heard about us.

Academic information. To deliver tutoring effectively, we may receive schoolwork, assignments, test scores, grades, progress notes, and similar academic records. We treat this information as sensitive and only use it to provide and improve our services.

Payment information. Card payments are processed securely by our payment provider, Helcim, through their hosted checkout. We never receive or store your full card number.

Information from online lessons. When lessons are conducted online, we occasionally use Zoom. Zoom collects information directly from participants (such as audio, video, chat, and connection data) under its own privacy policy. We may receive attendance and basic session metadata from Zoom.

Automatically collected information. When you visit the Site, we and our analytics providers (currently Google Analytics) automatically collect technical information such as your IP address, browser type, device type, operating system, referring URL, pages viewed, and the time and date of your visit. We use cookies and similar technologies to do this - see the Cookies section below.

02How We Use Information

We use the information we collect to:

  • Provide, schedule, and deliver tutoring sessions
  • Match students with appropriate tutors and lesson plans
  • Track academic progress and tailor instruction
  • Process payments and send invoices or receipts
  • Communicate with you about your account, sessions, and updates to our services
  • Respond to your questions and provide customer support
  • Maintain the security of the Site, prevent fraud, and enforce our terms
  • Comply with legal obligations
  • Improve our Site and services

We do not sell your personal information, and we do not share it with third parties for their own advertising purposes.

03How We Share Information

We share information only as needed to run our services:

  • Tutors and staff. Tutors and team members involved in delivering or supporting your sessions have access to the information they need to do their jobs.
  • Service providers. We share information with vendors who help us operate, including our payment processor (Helcim), online lesson platform (Zoom), analytics provider (Vercel), and email (Resend), scheduling, and hosting providers. These vendors are only permitted to use the information to provide services to us.
  • Legal reasons. We may disclose information if required by law, subpoena, or other legal process, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.
  • Business transfers. If we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.

04Children's Privacy

We provide services to students of varying ages, including children under 13. We take the privacy of young students seriously and comply with the Children's Online Privacy Protection Act (COPPA).

  • Children under 13 may not create their own registration. A parent or legal guardian must sign up and provide consent on the child's behalf.
  • We only collect the personal information from a child under 13 that is reasonably necessary to provide tutoring (such as name, age or grade level, subjects, and academic work submitted during lessons).
  • Parents and guardians may review their child's information, request that we delete it, or refuse further collection at any time by contacting questions@dfwtestprep.com.
  • We do not condition a child's participation in tutoring on disclosing more information than is reasonably necessary.

05Cookies and Analytics

We keep tracking to a minimum, and we do not use advertising or cross-site tracking cookies.

Analytics. We use Vercel Web Analytics to understand how our site is used, such as which pages are visited and how visitors find us. It is privacy-friendly: it does not use cookies, does not collect personal information, and does not track you across other websites.

Attribution cookie. When you arrive from one of our ads, posts, or links, we set a single first-party cookie to remember which campaign or link brought you to the site. This helps us measure which of our ads and content are working. The cookie stays on your device for up to about 90 days, contains no sensitive personal information, and is never sold, shared with third parties, or used to track you on other websites. You can clear or block it at any time in your browser settings.

We do not use Google Analytics, advertising pixels, or other third-party trackers.

06Data Security

We use reasonable administrative, technical, and physical safeguards to protect the information we collect, including encryption in transit, restricted access, and secure payment processing through our payment provider. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security - but we do try our best.

07Data Retention

We keep personal information for as long as needed to provide tutoring services and to meet legal, accounting, or reporting requirements. When information is no longer needed, we delete or anonymize it. Academic records and session notes are typically retained for the duration of the tutoring relationship plus three years; payment records are retained as required by tax and accounting law.

08Your Rights

Depending on where you live, you may have the right to:

  • Request access to the personal information we hold about you
  • Request that we correct inaccurate information
  • Request that we delete your information
  • Opt out of certain uses of your information
  • Receive a copy of your information in a portable format

09Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, notify you by email or through the Site. Your continued use of our services after a change means you accept the updated policy.
